Employee Self Service (ESS) is the user-facing layer of an HRMS or HRIS. It is the portal or mobile app through which employees interact with HR data that belongs to them — viewing their payslip, checking leave balance, applying for time off, marking attendance, downloading Form 16, or updating their bank account and address.
In Indian organisations, ESS has become the default channel for almost every routine HR transaction. Instead of emailing HR for a payslip or last year's Form 16, employees pull the document directly from the app. Instead of a paper leave form signed by the manager, leave is requested and approved in a few taps.
A complementary system, Manager Self Service (MSS), gives reporting managers a parallel view — approving leave, reviewing attendance regularisations and confirming reimbursements for their direct reports.
How ESS works
Once an employee is added to the HRMS, they receive a secure login (often via SSO or OTP) to the ESS portal. From there, they can typically:
- Payroll: view and download monthly payslips, Form 16, tax computation sheets and salary history.
- Attendance: mark check-in and check-out via geo-fence, photo or biometric integration, and regularise missed punches.
- Leave: view leave balances, apply for leave, cancel a request and see the team holiday calendar.
- Tax and finance: submit investment declarations, upload proofs, choose between old and new tax regimes, and claim reimbursements under the FBP.
- Personal data: update address, contact number, bank account, PAN, family and nominee information.
- Documents: download offer letter, appointment letter, increment letter and experience letter.
Every action flows back into the HRMS, triggering manager approvals, payroll recalculations or compliance updates where needed.
